Scope of works

Full replacement Kitchens to 40 properties, partial remodelling of kitchens to another 8.
Sheltered accommodation block, working with scheme manager and residents.

Our PFA clients are geographically disperse with properties across the North of England. At any one time we will be working on schemes throughout this area.
 

Key performance indicators

The client is still producing KPI’s for this scheme. The KPI’s under the Procurement For All contract are consistent across all contracts. Each client in conjunction with ourselves tailors these to suit their needs.

Innovations

This scheme is part of a framework contract with Procurement For All. We have 4 clients under PFA who are using Kinetics to deliver their kitchen and bathroom replacement  programme. We have this year undertaken £1,126,602 to date for Housing 21 through this PFA contract and have a further estimated £2 million of planned works. The client is aiming to jointly programme schemes with us to allow most efficient working practice.

On any initial scheme we receive a brief from the client as to the extent of works to be undertaken – for example:  is it a full rewire, partial rewire, ventilation requirements, full or partial redecoration etc. Our Contracts Manager liaises with the scheme manager / warden to look at any issues that may require the input of an occupational therapist. Thought is given to residents who may have to relocate together with any access issues for residents that require daily assistance from outside sources.

In conjunction with the kitchen manufacturer (pre-selected by the client) a full survey / design is undertaken all colour choices, worktops, flooring, tiles etc is agreed and signed off by the resident at an early stage. The joint visit limits disturbance to residents as all issues are dealt with in one visit. However a 10 day “change of mind” period is allowed in case a resident rethinks their choices.

Based upon the tendered schedule of rates full costings for each property together with the signed designs are forwarded to the client for sign off.  Prior to commencement on site a meeting is held for all residents to look at programming issues, hand out impact statements and to discuss any last minute alterations.

The site agent co-ordinates all trades to minimise time in property and disruption to resident. At all times residents are left with cooking and sink facilities at the end of the working day. Operatives work with residents where required to assist in removal of white goods, cupboard contents.

At handover stage to the client we are aiming for zero defects with the intention of smoothing the process for the residents without the need for further visits.

Although the contract is on a schedule of rates basis, we are continually looking at making and sharing savings with the client. This means that we are now piloting an open book approach with Housing 21 to maximise the ability to share information and focus on delivery and further innovation to create further efficiencies.
